The Purchasing Administrative Assistant’s responsibility is to assist the Purchasing department with the preparation, management and award of contracts to subcontractors and suppliers of equipment, materials, professional and technical services, and construction
trades necessary to perform construction contracts for all construction projects. The Purchasing Administrative Assistant provides general and detailed administrative support to the Purchasing Department and others as requested. This position reports to the Executive
Assistant - Preconstruction.
Assist with Subcontracts, Professional Services Agreements and Purchase Orders
Review and prepare after bid subcontractor scope packages
Prepare the distribution of sub-contractual agreements and material purchases
Assist with compiling and creating matrixes for all construction documents
Maintain and update project buyout documents and master subcontract files (electronic and hard copy)
Assist in preparation of proposals, coordination and pro-active involvement in designated estimating functions
Participate in the preparation and delivery of certain presentations
Assist the Executive Assistant - Preconstruction
Provide continual review of work to ensure all terms and conditions are met and that any problems are identified/resolved/mitigated in a timely manner
Assist with preparing and disseminating of information regarding contract status, compliance, modifications, deviations, negotiations, and completion or termination
Provide data for preparation of job cost documents
Assist with pursuing Certificate of Insurance compliancy
Perform administrative duties as required
Assist with all others as required
Must have a minimum of two (2) years of administrative support experience.
